Public Folder (Shared) Calendars

 

Overview/Introduction

Public Folder Calendars are a way for Departments or groups to have a shared common calendar.  Often used for vacation planning or project planning.  The calendar is not linked to a person so there is no risk of information loss due to a person leaving or transferring departments.

Details

 

For Outlook Classic:

1.  Select the ‘Folders’ option in the Outlook navigation bar.  If "Folders" is not visible, click the ellipsis to see more options. 

(Note:  **This will vary in appearance depending on the version of Outlook**)

2.  Expand “Public Folders” -> “All Public Folders”

3.  Expand the specific folder, right-click the item, and select “Add to favorites”

 The calendar will now show in your list of calendars:

For NEW Outlook (2024):

If your Microsoft Outlook app was updated to the new Outlook for Windows, you need to add public folders to Favorites before you can access them. Use the following steps:

1. Right-click the name of the account and select Add public folder to Favorites.

2.  In the pane that displays the public folder hierarchy, expand All Public Folders.

3.  Select the public folder that you want to add to Favorites and then select Add Public Folder.

4.  After the public folder is added, go to your Calendar to access it.

 

FAQs

The "Add to Favorites" step is often necessary to pin the public calendar to your list of available calendars.  If you don't see the public calendar, please repeat the step of browsing the calendar and adding to your favorites.
