Using the Course Catalog in Colleague

Overview/Introduction

This article explains how to use the Course Catalog in Colleague, which shows real-time information about what courses are offered each semester, who is teaching them, and how many students are enrolled or waitlisted. It explains how to use the Advanced Search in the Catalog, which is an efficient way to find course-specific information for each semester.

This video walks you through how to navigate the Course Catalog in Colleague when advising students.

Starting from the College's homepage, click on "Information For" and then "Faculty & Staff" in the upper right hand corner:

Scroll down on the Faculty & Staff page until you reach the list of "Faculty & Staff Links":

Choose "Teaching & Advising". At that point, you'll see this list:

There are two ways to get to the current (and future, when advising) semester's course options. One is to choose "Course Schedule" if you want to go directly to the schedule in Colleague. Note that choosing "Course Catalog" will take you to the static, print-based version of the catalog that resides on the Ursinus website.

 

The second option, which this guide will follow, is to get to the Course Schedule through your advisees by choosing "Advising."

When you click "Advising," you'll be taken to the list of your advisees in Colleague. Note that all of the students and ID numbers in the examples that follow are NOT real students at Ursinus.

Choose which student you want to work with. Then click on the "Course Catalog" tab.

After you click on the "Course Catalog" tab, you'll see the list of disciplines, just as if you had directly clicked on the "Course Schedule" link from the Faculty/Staff homepage. You'll note that it defaults to "Subject Search."

You can search through course offerings this way, using the filters on the left hand side for each discipline.

However, the "Advanced Search" offers you more options, and allows you to see the detailed information for every class offered in a given semester, including available seats and number of students waitlisted. When you click "Advanced Search," you'll see this:

Choose the "Section Listing" option, and then choose the options from the drop-down menus that correspond to what you're looking for. For example:

As you scroll down, you'll see more options. The most helpful drop-down menu for choosing courses that satisfy Core requirements is the last one, "Select Course Type," which is illustrated here:

Once you've made all of your choices, click "Search."

The Search results will show you all of the details for courses offered in a given semester that meet the criteria you chose. You can use the filters on the left to further refine your search. Remember to scroll to the side to see all of the information available:

At that point, you can Add courses to your advisees' schedules using the blue "Add" button.
