For those who are in an administrative position or are in an administrative support role and make extensive ten digit telephone calls while on Campus there is the option for a physical phone at your desk.

What kind of phones do we use?

Currently, as of the publication of this article, we use and support the following brand and models of Microsoft Teams integrated physical phones. Data sheets and user guides are provided below for the specific model you may have (Click on the images for a better view):

How Do I get one

The option to have a physical phone will not be made available to most Faculty and Staff of the college due to the flexibility that work from anywhere provides. Because of this we are limiting those who will get a physical phone to those who are in administrative positions and those supporting them.

Plugging in the phone

To hook up your teams integrated telephone plug the Ethernet port coming from your wall into the Ethernet port marked Internet on the phone. The other Ethernet port on the phone marked PC can be plugged into your computer or docking station so to provide wired Internet connectivity.

DO NOT plug both Ethernet ports into the Ethernet ports in your office as this will disable the ports.

Signing into Teams Physical Phone

  1. If the phone has not been assigned to someone's account already when it first boots up you will be greeted by a screen asking you to sign into the phone via a web link on your computer or phone. You can also sign into your account directly on the phone by hitting the Sign in on this device link underneath the box containing the code. Follow the steps on screen to log in using this method.Uploaded Image (Thumbnail)
  2. Visit the link at https://microsoft.com/devicelogin
    • NOTE: If the phone loads up and shows a refresh link icon please click it so it will give you a sign-in code
  3. If you are not signed into your Ursinus Microsoft account it will first take you to a windows login screen. There enter your full Ursinus email complete with the at @ursinus.edu
  4. After that you will be taken to the normal Ursinus login screen you are familiar with where you can enter your username and password as usual.
  5. It may prompt you in the following window to select an account you wish to use. If you have multiple Microsoft accounts signed in make sure to click on the one with <yourname>@ursinus.edu
  6. Enter the code shown on your device and select Next
  7. A confirmation message is displayed but don't close out the webpage just yet.
  8. Check back in with the physical phone which will start a loading screen to log you in.
  9. After a few seconds of loading the phone will take you through a welcome screen to setup some things. 
  10. Once done your initials and phone number will be displayed, usually in the top left hand corner of the screen.
  11. Close out of the webpage you used to sign into the phone with.

What's my number?

How do I know what my full ten digit telephone number is? On your physical phone in the top left hand corner of the screen next to your initials is your full ten digit telephone number.

Making calls

You do not need to dial 9 to call an outside line.

There are plenty of ways to make calls on your teams integrated telephone. Pick up the receiver, hit the speaker phone button, or just start typing the number (this one only works if you are making an external call).

If you want to make a call to someone on campus you can look them up by name in the directory. Just navigate to the calls section and start typing the person on campus you want to call by first or last name and the list will start to populate. Then select the user and hit the call icon under their name.

NOTE: You might not always get a dial tone. But you can type the number as normal and hit call it will dial out.

Voicemail

To access your voicemail on the physical phone hit the key that looks like a envelope. From there it will take you through your options. Depending on your model of phone you can either use the directional pad (Yealink MP52 model) or the touch screen (Yealink MP54 & MP56 model) to navigate through your messages.

NOTE: A .wav file of the voicemail recording will be sent to email as well. If the email is deleted then the voicemail will also be deleted. So be careful.

Transfer a call

Depending on your model of phone the transfer procedure will be different. See the What kind of phones to we use? section above to figure out which model of phone you have then go to the appropriate section below for your model to see how to transfer a call.

Performing a Blind Transfer

You can transfer calls to other contacts immediately without consulting with them first.

  1. During a call, select Uploaded Image (Thumbnail)> Transfer now.
    The call is placed on hold.
  2. Select the desired contact or search for a contact.
    Then the call is connected to the number which you are transferring to.
  3. Select Uploaded Image (Thumbnail)to end the call or when the other party picks up it will end automatically.

Performing a Consultative Transfer

You can transfer calls to other contacts after consulting with them first.

  1. During a call, select Uploaded Image (Thumbnail)> Transfer > Consult first.
  2. Select the desired contact or search for a contact.
  3. After the party answers the call, selectUploaded Image (Thumbnail)> Transfer beside the contact. It prompts you whether to transfer the call or not.
  4. Select OK to complete the transfer.

Yealink MP54

Performing a Blind Transfer

You can transfer calls to other contacts immediately without consulting with them first.

  1. During a call, tapUploaded Image (Thumbnail) > Transfer > Transfer now. The call is placed on hold.
  2. Select the desired contact or search for a contact.
    Then the call is connected to the number which you are transferring to.
  3. TapUploaded Image (Thumbnail)key to end the call or when the other party picks up it will end automatically

Performing a Consultative Transfer

You can transfer calls to other contacts after consulting with them first.

  1. During a call, tap Uploaded Image (Thumbnail) >Transfer > Consult first.
  2. After the party answers the call, tap Uploaded Image (Thumbnail)beside the contact.
    It prompts you whether to transfer the
    call or not.
  3. Select the desired contact or search for a contact.
  4. Tap OK to complete the transfer.
    After the transferred party answers the call, the call is transferred successfully.

Yealink MP56

Performing a Blind Transfer

You can transfer calls to other contacts immediately without consulting with them first.

  1. During a call, press Uploaded Image (Thumbnail)or tap
    Uploaded Image (Thumbnail)> Transfer > Transfer now.
    The call is placed on hold.
  2. Select the desired contact or search for a contact.
    Then the call is connected to the number which you are transferring to.
  3. TapUploaded Image (Thumbnail) key to end the call or when the other party picks up it will end automatically

Performing a Consultative Transfer

You can transfer calls to other contacts after consulting with them first.

  1. During a call, tap Uploaded Image (Thumbnail)> Transfer > Consult first.

Changing your presence status

If your calendar is not up do date you can change your status from your physical phone, or anywhere else you have teams installed.

  1. On the physical phone, and depending on your model of phone. Use either the directional pad (Yealink MP52 model) or the touch screen (Yealink MP54 & MP56 models) to 
  2. click on the iconUploaded Image (Thumbnail)
  3. Tap the presence status field and then select the desired status from the drop-down menu. Tip: You can reset your presence status to be available from any other status by tapping Reset status.

I'm moving offices on campus what do I do?

If you happen to be moving office locations and want to take your teams phone with you all you need to do is disconnect it from the Ethernet port and plug it back in at your new office. Give it a minute or so to fully boot up and it should resume service. If it does not please submit a ticket by clicking on the request service button to the right hand side of the article.
